Job Description

The Onboarding Project Manager (OPM) leads the implementation journey for new CARET Legal clients, guiding law firms through configuration, data/document migration, training, and go-live. As the primary client contact, the OPM ensures a timely, successful onboarding experience aligned with internal standards and CARET’s time-to-value (TTV) goals. This client-facing role requires strong project management, communication, and cross-functional coordination.

Key Responsibilities

Client Project Management

Own end-to-end onboarding from kickoff to support transition
Build and manage timelines, tasks, and milestones in GUIDEcx
Lead client meetings, maintain engagement, and drive accountability

Technical Oversight & Coordination

Collaborate with Data Engineering to complete assessments and migrations
Validate configuration accuracy and resolve data issues
Coordinate third-party tools and integrations (e.g., Office365, Mailgun, LawToolBox)

Client Communication & Enablement

Conduct discovery to gather billing, trust, contact, and matter setup requirements
Deliver tailored training plans and provide branded resources and documentation
Serve as main point of contact for onboarding calls, emails, and questions

Reporting & Continuous Improvement

Track blockers, risks, and escalations with clear documentation
Contribute feedback to improve templates, tools, and SOPs
Ensure clean handoff to Support with internal transition briefings

Preferred Qualifications

3+ years in SaaS onboarding or legal tech implementation
Experience with GUIDEcx or similar project platforms
Familiarity with legal billing, trust accounting, and AR/AP workflows
Strong proficiency in Excel, Confluence, Teams, and Sharefile

Additional Relevant Experience

Knowledge of LEDES/UTBMS billing formats
Background in data migration, file structure consolidation, or cloud transitions
Prior experience in legal operations, billing departments, or paralegal support

Pay range: $70,000 – $79,000. Actual base pay will depend on varying circumstances, including the position, location, individual qualifications, market finances, and other operations business needs. Depending on the position, compensation may also include commission, bonuses, etc. Potential for bonuses is based on company performance and potential for merit increases is based on performance.
