The Role

We’re looking for a highly organized, proactive Virtual Assistant to support our operations and internal teams. In this fully remote role, you’ll be a key partner in keeping day-to-day workflows running smoothly — handling administrative coordination, communication, and process support that helps our Operations, Customer Success, and leadership teams stay focused on high-impact work.

Key Responsibilities

Manage calendars, schedule meetings, and coordinate internal and external communications
Support order-related administrative tasks, including data entry, status tracking, and documentation
Serve as a point of contact for routine inquiries from internal teams, vendors, and partners
Prepare and organize reports, trackers, and operational documentation
Assist with email management, prioritization, and follow-ups
Help maintain and improve internal processes, SOPs, and knowledge bases
Coordinate logistics-related administrative tasks (shipping confirmations, status updates, vendor follow-ups)
Take on special projects and ad-hoc support as the team scales

What We’re Looking For

2+ years of experience as a Virtual Assistant, Executive Assistant, or in a similar administrative/operations support role
Excellent written and verbal communication skills
Strong organizational skills and exceptional attention to detail
Comfort working independently in a fully remote environment while collaborating across time zones
Proficiency with Google Workspace (or Microsoft 365), project management tools (e.g., Asana, Notion, or similar), and basic spreadsheet work
Ability to prioritize multiple tasks, meet deadlines, and adapt quickly
A proactive, solutions-oriented mindset — you anticipate needs and close the loop without constant oversight
Bonus: Previous experience supporting operations, logistics, customer service, or tech/start-up environments
